Trip Terms and Conditions
These terms form the agreement between you and Nima Adventure Trek & Expedition P. Ltd. (“Nima Adventure”, “we”, “us”) for any trek, trekking peak, expedition or tour you book with us. By confirming a booking, you accept these terms on behalf of yourself and everyone named in your booking. The details of your own trip, including the price, what is included, the deposit and the payment deadlines, are set out in your booking confirmation.
Booking and confirmation
- You can book through our website, by email or by WhatsApp. Your booking is confirmed once we have received the required deposit and sent you a written booking confirmation.
- The person who makes the booking must be of legal age and is responsible for making sure that everyone in the group has read and accepted these terms.
- Please check your booking confirmation carefully and tell us straight away if any details are incorrect.
- For expeditions and some trekking peaks, we may ask about your climbing experience before we confirm your place.
Payments
- A deposit is required to confirm your booking. The amount and the date by which the balance is due are stated in your booking confirmation.
- If the balance is not received by the due date, we may treat the booking as cancelled by you and apply the cancellation charges stated in your confirmation.
- Payment can be made by bank transfer or by another method we agree with you. Bank and card charges are paid by the traveller unless your confirmation says otherwise.
- The trip price covers the services listed in your confirmation. Extra services you request during the trip, and anything listed as not included, are paid by you.
Cancellation or changes by you
If you need to cancel, please tell us in writing as soon as possible. Your cancellation takes effect on the day we receive your written notice, and cancellation charges apply as stated in your booking confirmation. These charges usually increase as your departure gets closer, so we strongly recommend travel insurance that covers trip cancellation.
If you would like to change your dates or trip after confirmation, we will do our best to help. Changes depend on availability and may involve extra costs, such as permit, flight or hotel fees that have already been paid. If you leave a trip early or miss any part of it, we are unable to refund unused services.
Cancellation or changes by us
- Mountain travel depends on weather, flights and local conditions. We may need to change an itinerary, route, accommodation or flight before or during your trip because of bad weather, flight delays or cancellations, landslides, snow, route closures, government decisions or other events beyond our control.
- If we have to cancel your trip before departure for a reason within our control, we will offer you an alternative trip or a refund of the money you have paid us.
- We are not responsible for cancellations, delays or extra costs caused by force majeure, meaning events outside our reasonable control such as natural disasters, extreme weather, epidemics, political unrest, strikes, or government or airline action. In these situations we will do everything we reasonably can to help you, and any refund will depend on the costs we have already paid to suppliers.
- Extra costs caused by delays, such as additional hotel nights, meals or alternative transport, are paid by the traveller and may be claimed from your travel insurance.
Travel insurance
Travel insurance is mandatory for all our trips. Your policy must cover emergency helicopter rescue and evacuation, and medical treatment, up to the maximum altitude of your trip. For trekking peaks and expeditions it must also include mountaineering cover. We also strongly recommend cover for trip cancellation and curtailment, and for lost or delayed baggage.
Please send us your insurance details before your trip starts using our Submit Insurance Detail form. We cannot take you on a trek or climb without valid insurance. You can read more on our Travel Insurance page.
Passports, visas and permits
- You are responsible for holding a valid passport and the correct visa for every country on your trip. Please check passport validity requirements and visa rules before you travel.
- We arrange the trekking, climbing, national park and conservation area permits included in your trip. To do this we need accurate passport details and photographs from you in good time.
- Permits for Tibet, Bhutan, restricted areas and other special entry rules are issued by the relevant authorities. We will help with the process, but we cannot be responsible if a permit is refused or delayed.
Health and fitness
- Trekking and climbing at high altitude is physically demanding. You must be in good health and have the fitness and, for climbs, the experience needed for the trip you choose.
- Please tell us before you book about any medical condition, allergy or medication that could affect your trip. We may ask for a letter from your doctor.
- We recommend that you see your doctor before travelling for advice on vaccinations, altitude sickness and medication.
- Altitude affects everyone differently. Following your guide’s advice on acclimatisation, drinking enough water and walking at a steady pace is essential.
Your responsibilities as a traveller
- Respect local laws, customs, religious sites and the environment, and leave no trace on the trail.
- Follow the instructions of your guide and our team for your own safety and the safety of the group.
- Bring suitable clothing and equipment, as advised in your trip information and kit list.
- Behave considerately towards other travellers, our staff and local people. We may remove from a trip, without a refund, anyone whose behaviour puts others at risk or seriously disrupts the group.
- Look after your passport, money and personal belongings.
Guides’ safety decisions are final
Your guide’s decisions on safety are final. This includes decisions to change the route, rest for an extra day, delay an ascent, turn back before a pass or summit, or arrange an evacuation because of weather, mountain conditions or the health of a traveller. These decisions are always made in your interest. No refund is given for any part of a trip missed for safety reasons, and the costs of rescue or evacuation are paid by you or your insurer.
Our responsibility
We take great care in choosing the hotels, lodges, transport and other services that make up your trip. Some services, such as international and domestic flights and helicopters, are provided by independent operators under their own conditions. To the extent permitted by law, we are not liable for loss, injury, illness or damage caused by your own actions, by third parties not connected with the services in your booking, or by events beyond our reasonable control.
Complaints
If something is not right during your trip, please tell your guide or contact our office straight away so that we have the chance to put it right on the spot. If you are still not satisfied, please send us a written complaint by email to info@nimaadventure.com as soon as possible after your trip. We will look into it carefully and reply to you in writing.
Privacy
We use your personal information to arrange and run your trip, as explained on our Privacy and Disclaimer page.
